About this privacy notice

In May 2018, new law comes into force that strengthens the rights of individuals to know what data about them is collected, used and managed. This template helps you set out your privacy policy so that you can show that you comply with every aspect of the General Data Protection Regulation (or GDPR).

This document is based on our standard privacy policy and has been specifically edited for accountancy and book-keeping firms.

We have taken into account that your data subjects might be:

  • personal clients
  • third parties connected with business clients (such as employees, directors, owners, suppliers, and agents)
  • suppliers and contractors to your own practice
  • visitors to your premises and to your website

The majority of personal information that you process is likely to be done on the basis that there is a contract between you and the data subject (or the organisation for which the data subject works), or that the data subject has asked you to do something with the intention of forming a contract.

However, you will also likely process data under the grounds of consent and legitimate interests where the subject is not a client.

We have adapted our standard template accordingly, and while you will need to enter information about your business, we have greatly reduced the number of choices that you need to make about which paragraphs to leave in or remove.

Free to use

We provide this template completely free of charge.
We don't ask you to acknowledge our copyright in it or mention us in any way within it.

Features and contents

The template is written in plain English that is client friendly and structured so that it is both easy to read and easy to edit.

The first part of the notice explains the data you process.

The second part explains the legal bases you have chosen for processing different types of information.

The third part deals with specific uses – less designed to comply with the GDPR and more for the purposes of reassuring clients.

The fourth part sets out requirements under GDPR once again: whether data is shared with other organisations; how it can be reviewed; and other miscellaneous matters.

The contents of the document cover:

  • Data processed
  • Legal basis for use
  • Specific examples of how data is used
  • Cookies and other tracking
  • Advertising, including use of remarketing
  • Data transfers and processing outside the EU
